n8n invoice system: Drive polling, forms & test inputs feed an orchestrator & reusable validation worker. AI extraction + deterministic validation, batch & persistent duplicate checks, state/event-history tables, error routing, scheduled reporting.
Invoice processing is often fragmented and manual. Invoices enter through different channels, including shared drives, forms and test inputs. Data extraction, validation and tracking must remain consistent across these channels to maintain a reliable process from receipt to validation. Every invoice must be captured, checked against defined business rules and tracked with minimal manual intervention. Missing fields, incorrect line-item calculations, inconsistent totals and duplicate invoice numbers can introduce errors, delay approvals and compromise data integrity. Technical failures, such as extraction errors, also require a different response from business validation failures. Without persistent processing records, structured exception handling and consolidated reporting, teams have limited visibility into processing outcomes. Investigating failures, preventing duplicate processing, identifying bottlenecks and measuring performance across intake channels become more difficult.
Designed and built a four-workflow n8n invoice operations system. It covers intake, AI extraction, validation, duplicate checks and reporting. Three intake paths feed a central orchestrator: scheduled Google Drive polling for PDFs, independent forms and controlled test inputs. A reusable validation worker applies consistent business rules. This keeps orchestration separate from validation logic for easier maintenance and extension. AI extraction structures invoice identifiers, vendor details, dates and line items. It also captures quantities, unit prices, subtotals, tax and totals. Deterministic validation checks required fields, line items, subtotals, totals and tax. It does not rely on AI alone. Passing validation means ready for approval and not payment authorization. Duplicate prevention runs within each batch and across executions via persistent records. Separate data tables track invoice state and event history. Events include receipt, validation success and validation failure. Business validation failures route to billing review while technical failures take a separate error-handling path for investigation. A scheduled daily digest reports intake volumes, validation outcomes and exceptions across channels.
• Productivity Improvements: Automates multi-channel intake, AI extraction, deterministic validation, duplicate prevention and reporting. A central orchestrator and reusable validation worker cut repetitive manual handling and separate checks across channels. • Quality Improvements: Applies one validation process to Drive, form and test inputs. Required fields, line-item calculations, subtotals, tax and totals are checked against business rules. Failed invoices are routed for review, not treated as ready for approval. • Accuracy Improvements: Pairs AI extraction with deterministic validation to limit reliance on unverified AI output. Extracted data is checked for completeness and consistency across line items, subtotals, expected tax and totals. Duplicate prevention runs within batches and across executions. • Operational Efficiencies: Centralized orchestration coordinates intake, extraction, validation, exceptions and reporting. A reusable validation worker avoids duplicated business logic. Persistent state and event-history tables show status and outcomes. Scheduled digests consolidate activity across channels. • Risk Reduction: Required-field checks, calculation validation, duplicate prevention and exception handling reduce processing risk. Business failures are held for billing review while technical errors follow a dedicated path. Persistent records improve traceability. Passing validation means ready for approval, not payment authorization. • AI Performance Improvements: AI extracts structured data while deterministic rules independently verify it. This limits dependence on AI for financial calculations and validation decisions. Separating extraction from checks and routing exceptions for review makes AI processing more reliable.
Automates invoice intake, AI-assisted extraction and deterministic validation across multiple channels. Prevents duplicate processing within batches and across executions. Maintains persistent processing records and event history for traceability. Separates business validation failures from technical errors. Generates scheduled operational reports for visibility into processing outcomes. The system is designed to reduce manual effort, improve data accuracy and strengthen operational control. Quantitative results for time savings, cost reduction and error-rate improvements have not yet been measured against a documented baseline.
