An automated Zapier workflow that cleans data, generates personalized intern certificates via Google Slides, and routes them to dynamic Google Drive folders.
Managing intern onboarding and completion across a network of dental clinics required manually generating certificates, formatting names, and organizing files into specific, deeply nested Google Drive folders for each office location. This manual process was highly prone to human error (typos, misfiled documents, incorrect templates) and consumed hours of administrative time each week, creating an operational bottleneck.
Engineered a Zapier-driven workflow triggered by Google Sheets. The solution utilizes custom JavaScript to clean and format text payloads (Title Case for file names, ALL CAPS for slide placeholders). It dynamically looks up office-specific Google Slides Template IDs and Drive Folder IDs based on location abbreviations. The system then generates the personalized certificate, searches for (or creates) a date-stamped intern subfolder, routes the PDF, and writes a "DONE" status back to the source spreadsheet to prevent execution loops.
Eliminated manual certificate generation and folder routing errors entirely. Standardized the document naming conventions across the entire clinic network and reduced the administrative bottleneck. This allows the administrative team to focus on the intern experience rather than repetitive data entry and file management.
100% elimination of manual file routing errors. Standardized document formatting and folder architecture across multiple clinic locations.
