Chapter 01

The Business Challenge

The business situation the organisation faced before the project began.

The clinic was losing patients in the gap between a question and a reply, and generic chatbots made it worse by giving the wrong opening hours or the wrong doctor. They needed reliable, around-the-clock booking without a human on every message.

How the Solution Was Delivered

Discovery, design, development, testing and rollout — the journey, not the tooling.

  1. 1Automated appointment booking, rescheduling, and cancellation end to end with no human in the loop, delivering accurate, around-the-clock responses grounded in the clinic's own data, removing the response gap that was losing patients.

Reflection

Lessons Learned

What surprised the team, what worked well, and what would be done differently.

  • The biggest lesson was that the booking step cannot rely on the model's reasoning. Early on, a generic chatbot would confidently give the wrong opening hours or the wrong on-duty doctor, which in a clinic setting is worse than no answer at all. I learned to ground every factual answer in real data with RAG and a live schedule, and to keep a strict split: the AI handles the conversation, but deterministic logic and structured output handle anything exact, like dates, doctor assignment, and the final booking confirmation. I also learned to design for the messy middle of a conversation, such as a patient changing their mind or giving an ambiguous date, by adding conversation memory and explicit edge-case handling instead of hoping the model would figure it out. The result is an agent reliable enough to trust with a real booking, not just a demo that sounds good.
